POSITION DESCRIPTION - BUSINESS MANAGER Part time, Non-exempt Employee


Position Purpose
: The Business Manager performs the day-to-day bookkeeping functions and assists with financial and administrative considerations of the church. Assists in maintaining business files and works with the Administration and Finance (A&F), Property and Personnel Ministry Teams to manage all financial aspects of the church.


Qualifications
: 

  • Previous bookkeeping or related experience. Fund accounting experience preferred. Knowledge of Microsoft Office, Gmail, and financial software management tools. General business management knowledge a plus.
  • Excellent time management and organizational skills, and ability to work as part of a team. Discretion, good judgement and confidentiality are necessary. Excellent interpersonal skills and ability to respond positively to church constituents. 


Responsibilities
:


Weekly

  • Record receipts and funds in proper categories, as well as pledged amounts against members’ accounts.
  • Pay invoices/process disbursements once amounts, categories and fund sources are appropriately approved
  • Record disbursements in proper funds and categories
  • Record online giving deposits
  • Properly record all expenditures


Bi-Weekly

  • Submit payroll to the payroll company
  • Record payroll in accounting software in proper categories


Monthly

  • Prepare Bank Reconciliations on all accounts
  • Process monthly financial reports and distribute to A&F for review
  • Meet with Administration and Finance Team when requested
  • Record investment account income
  • Reconcile credit card statements and post to accounting software

Other

  • Prepare quarterly and year end donation statements
  • Prepare miscellaneous reports for A&F and ministry teams
  • Distribute annual budget packages to ministry teams and summarize requests for review by A&F
  • Serve as point person for employee benefits, pensions, Health & Safety, and work with HR consultant to administer employee changes incl. onboarding and background checks.
  • Distribute W-9s and prepare 1099s and other appropriate forms required for federal and state tax reports.
  • Manage cash flow needs and recommend transfers to A&F as necessary
  • File bequests and account for expenditures
  • File business related documents in an organized manner
  • File/Maintain staff benefits documents and forms
  • Maintains records for all pledges, donations/contributions
  • Work with appropriate ministry teams to approve contracts and bills
  • Distribute annual insurance policies for review to appropriate ministry team point person
  • Aid with preparation and maintenance of all leases with A&F and Property ministry teams
  • Assist (A&F) with aggregation of financial data for the annual report
  • Other duties as may be required by A&F, ministry teams, and Head of Staff
  • Act as support and redundancy for Office Manager as needed


Working Conditions
: Up to 20 hours per week with some additional hours to be approved as necessary (i.e. during budgeting process)


Compensation:
Pay rate up to $25 per hour


Supervision and Accountability
:
The Business Manager reports to the
Head of Staff. Annual reviews will be conducted by the Head of Staff and reported to the Personnel Committee. Compensation will be reviewed annually in accordance with the Employee Handbook.
